I am registered with the Information Commissioner's Office (ICO) as a Data Controller. My registration reference number is ZB500659. I am committed to maintaining the privacy of all of my clients and ensure transparency on how your data is collected, processed and kept. I am classed as a ‘data controller’ under the General Data Protection Regulation 2018, meaning I am responsible for collecting, processing and keeping your data.

 

What data do I collect?

I collect personal information such as your name, date of birth, email address, postal address and telephone number, bank details, GP information as well as any other information you provide in any communications between us. You will have provided this information whilst contacting me or in any other communication between us.

I may also collect some more sensitive information during your time with us; for example your medical history, personal history, sexual orientation or other personal information that is classed as sensitive. This information is only used for dealing with your enquiry, as session records by me as your counsellor and at supervision sessions by me as your counsellor. Most of this data is kept anonymously and is not passed on except in exceptional circumstances, for example when there is a serious risk of harm to yourself or others.

 

How is your data collected and stored? 

Your data is collected in different ways. It is collected when you communicate with me and when you attend your sessions. All data is reviewed regularly and unnecessary data is destroyed. All data is kept in an electronic format and is password protected.

Additionally, all sensitive data collected via email is password protected and reviewed and deleted annually.

How long is your data kept for?

Your data is kept for as long as is necessary. Most data is kept for seven years, after this time it is destroyed. All data collected through email is deleted annually.

 

Is your data shared?

Your data is not shared with any third parties except in very limited circumstances, for example if we are legally obliged to do so.

As your counsellor, I am required to have supervision sessions where I review and evaluate my work with another experienced counsellor. These sessions are confidential and all client information is anonymous.

Occasionally, I will have to share data. If I think that you or another person is at risk of serious harm we are legally obliged to alert the relevant authorities. Another example may be that a social worker or a court may ask us to provide some information with regards to an on-going case.

Your data will never be rented or shared with third parties, and we do not transfer any data outside of the EU.

The website

The website collects cookies. A cookie is a small file that can tracks different actions that users take on a website, for example which pages they click on and how many times. These cookies are anonymous and help us to make your experience on our website better. You can disable cookies in your browser.

Your rights

  • You have the right to access the data that I keep about you, know what I use it for, how long I have had it and who has access to it.

  • You can ask me to remove all of your data that I have stored if I have no lawful basis for keeping it.

  • If you believe that I have made any mistakes, then you can ask me to rectify them.
